Ledger Financials

The money on the same record: budget, commitments, change orders, pay applications and retainage.

Run the money.

Screens from the Struxen demo project.

The Budget for the demo project: 29 lines by budget code, each with its original budget, budget modifications, revised budget, approved change orders, committed and projected costs, over a total row.

Budget

F-22 Egress Maintenance Facility, demo project

One line per budget code, with the original budget, approved change orders, the revised budget and committed costs side by side. The whole budget is recomputed from its sources each time it is read.

Commitments

F-22 Egress Maintenance Facility, demo project

The buy-out: subcontracts and purchase orders with their original and revised values. The strip reads original, approved change orders, revised and invoiced to date.

Change events

F-22 Egress Maintenance Facility, demo project

Each change event records where it came from and its scope, which decides where the money goes. Three of these began as RFIs.

Pay applications

F-22 Egress Maintenance Facility, demo project

Each period’s application to the owner against the prime contract: work completed and stored, retainage held, and the payment due.

The way the money moves.

  1. 1

    Change event

Everything that changes the job starts here, often from an RFI or a submittal. Its scope decides where the money goes: to the owner, to contingency or inside your own budget.

  2. 2

    Pricing

A PCO prices the change: lines on budget codes, then markups. Once submitted, it shows on the budget as a pending cost change.

  3. 3

    Change orders

Approved PCOs are promoted to an owner change order on the prime contract. A commitment change order revises the subcontract or purchase order it belongs to.

  4. 4

    Revised budget

Approved change orders land in the budget’s Approved COs column, and the revised budget moves with them.

  5. 5

    Pay application

Each billing period, the owner is billed against the prime contract’s schedule of values, starting from what was actually completed.

  6. 6

    Retainage

Retention accrues on both sides of the job: what you hold from subcontractors and what the owner holds from you. A release is an amount a person records.

Every register, one set of budget codes.

A dollar entered once shows up everywhere it belongs.
