Statuses
Every status a record can carry in Struxen, with the label you see on screen and the stored value behind it
Every status vocabulary in the product, in one place. The first column is the label you see on screen. The second is the value stored on the record, which is what appears in an export, an API response, or a support conversation.
The two columns are often different. A document that reads Indexed is
stored as COMPLETED. A finding that reads Accepted is stored as
confirmed. Read the label; use the stored value only when you need to match
what a system is showing you.
Documents
The processing status of an uploaded document. Three surfaces word the same state differently, so a customer quoting a label may be looking at any of them: the badge on a register row, the badge in the detail panel, and the Ingestion filter dropdown.
| Register row | Detail panel | Ingestion filter | Stored value |
|---|---|---|---|
| Processing | Processing | Pending | PENDING |
| Processing | Processing | Processing | PROCESSING |
| Indexed | Indexed — searchable | Indexed | COMPLETED |
| Failed | Extraction failed | Extraction failed | FAILED, CANCELLED |
| Duplicate | Duplicate — skipped | Duplicate | DUPLICATE_SKIPPED |
| Credits blocked | Blocked — out of credits | Blocked on credits | REJECTED_INSUFFICIENT_CREDITS |
| Not processed | Not processed | Not processed | IMPORTED |
What each state means:
| State | Meaning |
|---|---|
PENDING | Registered, processing has not started. On a register row and in the detail panel this reads Processing, the same as PROCESSING. |
PROCESSING | In the pipeline now. |
COMPLETED | The pipeline finished. The document is classified and its text is searchable. It does not guarantee text was found. See Troubleshooting. |
FAILED, CANCELLED | The pipeline stopped. Re-process is offered. |
DUPLICATE_SKIPPED | The same file content already exists in this project, so it was not processed again. |
REJECTED_INSUFFICIENT_CREDITS | The project had no credits when the file reached the pipeline. Terminal until you top up and re-process. |
IMPORTED | Stored, versioned, and downloadable, with no AI processing run. This is the normal state on a plan without AI, and on files imported without processing. |
Re-process is offered only for the failed, credits-blocked, and not-processed states. It is not offered on an indexed or a processing document, and the server refuses it for them.
The Ingestion filter only lists the states present in the drawer you are looking at, so an option missing from the dropdown means no document in that drawer is in that state.
Documents also carry health flags alongside the status: low confidence, missing sheet number, scanned, superseded, and unparsed. A flag does not change the status. An indexed document can show Indexed plus a Superseded flag at the same time.
Drawing sets
| Label | Stored value |
|---|---|
| Uploading | UPLOADING |
| Splitting sheets | SPLITTING |
| Ready for review | READY_FOR_REVIEW |
| Published | PUBLISHED |
| Failed | FAILED |
Sheets
| Label | Stored value | Meaning |
|---|---|---|
| Needs review | PROPOSED | The split produced a sheet number and title; nobody has confirmed them. |
| Confirmed | CONFIRMED | A person has checked the number and title. |
| Published | PUBLISHED | Visible in the drawings register. |
| Discarded | DISCARDED | Dropped during review. |
The drawings register lists published sheets only. A set that has not been published is invisible there even though its sheets exist.
Revisions
| Label | Stored value |
|---|---|
| Current | CURRENT |
| Superseded | SUPERSEDED |
Extraction confidence
How sure the extraction was about a field it read off a sheet.
| Label | Stored value |
|---|---|
| Read clearly | resolved |
| Low confidence, please check | uncertain |
| Could not read this field | unread |
Specifications
The status filter on the specifications register.
| Label | Meaning |
|---|---|
| All statuses | No filter. |
| Not imported | The section has a source PDF and has not been imported. |
| No source PDF | There is no file behind the row, so it cannot be imported. |
| Processing | Import is running. |
| Imported | Import finished. |
| Processing failed | The pipeline failed after the import started. |
| Import failed | The import request itself failed. |
RFIs
| Label | Stored value | Meaning |
|---|---|---|
| Draft | draft | Not yet issued to assignees. |
| Open | open | Issued and live, whether or not anyone has replied. |
| Closed | closed | Closed after being issued. |
| Closed-Draft | closed_draft | Closed without ever being issued. |
Priority is Low, Medium, High, or Urgent, stored uppercase.
Recycling an RFI is a flag, not a status. A recycled RFI keeps the state it was in.
For support: the record also carries an older status field kept in sync
as a projection, which can read DRAFT, PENDING, ISSUED, RESPONDED, or
CLOSED. ISSUED and RESPONDED are both projections of the single Open
state. If a data export disagrees with the register, this is why.
Submittals
Two statuses are locked and can never be renamed. The other six accept up to 12 company-specific aliases each, so the label your organization sees may differ from the default.
| Default label | Stored value | Locked |
|---|---|---|
| Submitted | SUBMITTED | Yes |
| Pending | PENDING | Yes |
| Approved | APPROVED | No |
| Approved as Noted | APPROVED_AS_NOTED | No |
| For Record Only | FOR_RECORD_ONLY | No |
| Revise and Resubmit | REVISE_RESUBMIT | No |
| Rejected | REJECTED | No |
| Void | VOID | No |
Approved, Approved as Noted, For Record Only, and Void are terminal. Revise and Resubmit and Rejected close the record to reviewers but the submittal manager can still act on it.
Transmittals
| Label | Stored value |
|---|---|
| Draft | draft |
| Sent | sent |
Sent is terminal. Sending the same transmittal again is refused.
Each recipient carries its own outcome:
| Stored value | Meaning |
|---|---|
PENDING | Not yet attempted. |
SENT | Attempted successfully. |
DISABLED | Sending is turned off in this environment. |
FAILED | The attempt failed. |
NO_EMAIL | The contact has no email address on file. |
Daily logs
| Label | Stored value | Meaning |
|---|---|---|
| Open | open | Editable. |
| Completed | completed | Locked. Completing requires the attestation. |
| Distributed | distributed | Locked and sent out. |
Individual rows inside a log carry a draft status of proposed or
confirmed, which marks whether a row is still a proposal from a capture or
an AI parse. Scheduled work rows carry Planned, Done, Partial, or
Blocked.
Observations
| Label | Stored value |
|---|---|
| Initiated | initiated |
| Ready for Review | ready_for_review |
| Not Accepted | not_accepted |
| Closed | closed |
Logged and sent are separate facts on an observation. An observation that has not been sent shows Not sent for its notified date.
Punch list
Nine states, in lifecycle order.
| Label | Stored value |
|---|---|
| Draft | draft |
| Initiated | initiated |
| In Dispute | in_dispute |
| Work Required | work_required |
| Work Not Accepted | work_not_accepted |
| Ready for Review | ready_for_review |
| Ready to Close | ready_to_close |
| Not Accepted | not_accepted |
| Closed | closed |
Inspections
| Label | Stored value |
|---|---|
| Open | open |
| In Review | in_review |
| Closed | closed |
Individual inspection items answer from the response set on the template. The default set is Pass, Fail, NA, and Not Required. Only Fail is treated as a deficiency.
Safety
Incident status:
| Label | Stored value |
|---|---|
| Reported | reported |
| Investigating | investigating |
| Corrective action | corrective_action |
| Closed | closed |
Incident kind:
| Label | Stored value | Counts toward the recordable rate |
|---|---|---|
| Near miss | near_miss | No |
| First aid | first_aid | No |
| Recordable | recordable | Yes |
| Property damage | property_damage | No |
| Environmental | environmental | No |
Recordable is the filer's own classification. Struxen does not make a regulatory determination and does not compute DART or EMR.
Meetings
Business items:
| Label | Stored value | Carries to a follow-up meeting |
|---|---|---|
| Open | OPEN | Yes |
| On Hold | ON_HOLD | Yes |
| Closed | CLOSED | No |
Attendance, editable only in Minutes mode:
| Label | Stored value |
|---|---|
| Present | PRESENT |
| Absent | ABSENT |
| For Distribution Only | DISTRIBUTION_ONLY |
| Conference | CONFERENCE |
Tasks
One shared vocabulary covers meeting tasks and safety corrective actions.
| Label | Stored value | Still owed |
|---|---|---|
| Initiated | INITIATED | Yes |
| In Progress | IN_PROGRESS | Yes |
| Ready for Review | READY_FOR_REVIEW | Yes |
| Closed | CLOSED | No |
| Void | VOID | No |
Only the first three can be chosen when creating one.
Schedule
Activity status:
| Stored value |
|---|
NOT_STARTED |
IN_PROGRESS |
COMPLETE |
DELAYED |
Activity type is TASK, MILESTONE, or SUMMARY.
Dependency type:
| Label | Stored value |
|---|---|
| Finish to start | FS |
| Start to start | SS |
| Finish to finish | FF |
| Start to finish | SF |
Status here is a recorded value, not a computed one. Nothing on the schedule recalculates, and recording a dependency does not move a date.
Findings
| Label | Stored value | Counts as open backlog |
|---|---|---|
| Open | open | Yes |
| In review | in-review | Yes |
| Accepted | confirmed | Yes |
| Resolved | resolved | No |
| Dismissed | dismissed | No |
| Accepted risk | accepted-risk | No |
Accepted is the one that catches people out. It means the team agreed the finding is real and escalated it, so it is still open work. It does not mean the finding is closed.
Severity has four user-visible levels, and the producers behind them use five, so two of them collapse:
| Label you see | Producer value |
|---|---|
| Critical | critical |
| Warning | high |
| Advisory | medium |
| Info | low, info, informational |
VANTAGE runs
Run status:
| Stored value | Meaning |
|---|---|
QUEUED | Accepted, not started. |
RUNNING | In progress. |
COMPLETED | Finished. |
FAILED | Stopped, including by the stall timeout. |
CANCELLED | Stopped by a person. |
Each checklist item inside a run carries its own status:
| Stored value | Meaning |
|---|---|
PENDING | Not started. |
RUNNING | Being analyzed. |
PASSED | Checked, nothing found. |
COMPLETED | Checked, findings written. |
FAILED | The check could not complete. |
SKIPPED | Not run. |
EXPANDED_SCOPE | Informational. The item pulled in more than its declared scope. It is still running, and this is not a failure. |
Findings the advisor suppressed are written as DISMISSED and hidden by
default. The run reports how many were suppressed.
STRUX Agents
Agent status:
| Stored value | Meaning |
|---|---|
DRAFT | Being built. Never runs on a schedule. |
TEST | Runs only when you trigger it. |
ACTIVE | Live. |
PAUSED | Live but not firing. |
ARCHIVED | Soft deleted and hidden from the list. |
Agent run status:
| Stored value | Meaning |
|---|---|
QUEUED | Created, not picked up. |
RUNNING | Collecting and composing. |
NEEDS_REVIEW | The run proposed at least one action waiting on a decision. Not terminal. It becomes COMPLETED once every proposed action is decided. |
COMPLETED | Nothing left to decide. |
FAILED | The run stopped with an error. |
CANCELLED | Stopped by a person or superseded. |
Trigger is SCHEDULE, MANUAL, TEST, or EMAIL_REPLY.
Organization subscription
Stored uppercase, compared case-insensitively.
| Stored value | Grants access |
|---|---|
ACTIVE | Yes |
TRIALING | Yes |
PAST_DUE | No |
PAUSED | No |
CANCELED | No |
Only ACTIVE and TRIALING grant an entitlement. See
Billing.
